Gift Card Rewards Program
Terms and Conditions (“Official Rules”)

ELIGIBILITY: The Gift Card Rewards Program (the “Promotion”) applies only upon request by or offer to the Agency or Customer for Bookings placed by an Associate of the Agency or a Customer Event Planner at a Participating Hotel noted below.

Not open to employees, officers or directors, or to members of the immediate family or household (whether related or not) of any employees, officers, or directors of Hilton Domestic Operating Company Inc. (“Sponsor”) or any of its parents, subsidiaries, affiliates, franchisees, or any advertising, promotion or other agencies or suppliers involved in this Promotion (collectively, the “Promotion Entities”).  Eligibility may be confirmed at any time and ineligible participants excluded. No transfer of Bookings allowed.

DEFINITIONS: As used in this Promotion, the following definitions apply:

Agency” – A Hilton-accredited third party group intermediary / third party meeting planner that sources and books qualifying group meetings and events on behalf of their Customers.

Associate” – An employee or independent contractor of an Agency.

Booking Contract” – A contract must be signed with the Participating Hotel and the Customer to govern the terms of the event or meeting.

Bookings” – New business meetings or events booked either by (i) the Associate on behalf of the Customer or (ii) the Customer Event Planner on behalf of the Customer at any time starting January 1, 2020 through July 31, 2020, and where such Booking actualizes any time between January 1, 2020 and December 31, 2020, for groups of ten (10) or more guestroom nights on peak. Bookings are “confirmed” when the Participating Hotel receives the signed event Booking Contract back from the Customer or the Agency (as applicable) and the Booking Contract is approved and countersigned by the Participating Hotel.

Customer” – The legal entity designated in the Booking Contract as the “Group” or similar designation (i.e., the corporation or association hosting the meeting or event, not a third party group intermediary / third party meeting planner).

Customer Event Planner” – The employee or independent contractor of the Customer that is designated by the Customer as the person responsible for sourcing and booking the meeting or event at the Participating Hotel.

Participating Hotel” – One of the following luxury hotels operating within the Sponsor’s portfolio of hotels:

Arizona Biltmore

Boca Raton Resort

Boca Beach Club

Grand Wailea Resort

La Quinta Resort & Club

The Roosevelt

Waldorf Astoria Atlanta

Waldorf Astoria Beverly Hills

Waldorf Astoria Chicago

Waldorf Astoria Las Vegas

Waldorf Astoria Orlando

Waldorf Astoria Park City

“Qualifying Lead” – An opportunity (lead) supplied either by (i) an Associate working for the Agency or (ii) the Customer Event Planner working for the Customer (as applicable on a case-by-case basis) for potential new business meetings or events booked at any time starting January 1, 2020 through July 31, 2020, where such Booking actualizes between January 1, 2020 and December 31, 2020, for groups consisting of ten (10) or more guest room nights on peak.

All Bookings are subject to the Participating Hotel’s standard terms and conditions. Rates and event spaces are subject to availability. Blackout dates may apply at the Participating Hotel. Promotion cannot be combined with any other promotions or discounts. Booking may not be made online. Promotion not valid for events/meetings previously booked. Promotion not valid for “city-wide” events (as such term is defined in the Participating Hotel’s local market). The Sponsor at its sole discretion will determine whether a lead is a Qualifying Lead.

Each Qualifying Lead that results in a signed Booking contract at the Participating Hotel results in the Associate or the Customer Event Planner (as applicable on a case-by-case basis) being eligible to earn a Booking incentive.  The incentive is as follows:

  • $250 in gift cards for an event with actualized total revenue of at least $3,000 up to $9,999
  • $500 in gift cards for an event with actualized total revenue of at least $10,000 up to $24,999
  • $750 in gift cards for an event with actualized total revenue of at least $25,000 up to $49,999
  • $1,000 in gift cards for an event with actualized total revenue of at least $50,000 up to $99,999
  • $1,500 in gift cards for an event with actualized total revenue of at least $100,000 or more

The calculation of “actualized total revenue” will be made by the Participating Hotel following the conclusion of the meeting or event, which calculation will include the following:

  1. all guest room revenue (whether guest rooms are paid by individuals and/or billed to the master account) over the official event dates,
  2. all catered food and beverage revenue billed to the master account,
  3. all meeting room rental fees billed to the master account, and
  4. all audio-visual revenue billed to the master account.

For clarity, the calculation of “actualized total revenue” excludes all gratuities, service charges, supplemental surcharges, applicable federal, provincial, state and local taxes, fees and assessments, as well as any other fees outside of catered food and beverage product sales, as well as all daily mandatory charges (i.e., resort fees, service fees, room attendant fees, etc.).

Gift cards will only be issued by the Participating Hotel after the group meeting or event has actualized, typically at least 30 days after the final event charges have been determined and confirmed by the Participating Hotel. If the meeting or event is cancelled or otherwise does not take place over the original event dates for any reason whatsoever, the Participating Hotel reserves the right to withhold issuing all gift cards that otherwise would have been issued to the recipient.

Any information that the Associate or the Customer Event Planner (as applicable) submits to Participating Hotel or to the Sponsor related to this Promotion will be subject to the Sponsor’s Global Privacy Statement accessed at http://www1.hilton.com/en_US/hi/customersupport/privacy-policy.do.

GENERAL PRIZE CONDITIONS:  Each recipient of the gift cards is responsible for all federal, provincial, state and/or local taxes, and for any other fees or costs associated with acceptance or use of the gift card incentive.  Each potential recipient may be required to execute an Affidavit of Eligibility and a Liability Release (collectively, “Prize Claim Documents”).  Also, if the gift card incentive is  to be awarded to a Customer Event Planner, then before the gift card incentive can be issued, an acknowledgment form signed by an authorized representative of the Customer Event Planner’s employer may be required to be submitted to the Participating Hotel, with such form merely confirming that the Customer Event Planner’s employer is aware of the incentive being provided to the Customer Event Planner, and that the issuance of the incentive does not violate the employer’s policies as of the date of issuance of the incentive. The Participating Hotel can provide an acknowledgement form acceptable to the Participating Hotel. If the employer determines that the issuance of the incentive would violate the employer’s policies, then no gift cards will be provided to the Customer Event Planner or to the Customer, although the Customer may always notify the Participating Hotel in writing (email notification in sufficient) that the Customer has elected to receive the value of the gift cards as a credit toward its final bill for the event (instead of the issuance of any gift cards). The Participating Hotel will not provide the gift cards directly to the Associate or the Customer Event Planner; instead, the Participating Hotel will provide the gift cards to the Agency (in the case of an Associate) or to the Customer (in the case of a Customer Event Planner) and thereafter it will be the sole responsibility of the Agency or the Customer (as applicable) to determine whether, when and how to distribute the gift cards to the applicable recipient.

GENERAL PROVISIONS:  Sponsor reserves the right in its sole discretion to disqualify any individual who is found to be acting in violation of these Official Rules, or to be acting in a disruptive manner, or with the intent to disrupt or undermine the legitimate operation of the Promotion, or to annoy, abuse, threaten or harass any other person, and Sponsor reserves the right to seek damages and other remedies from any such person to the fullest extent permitted by law.

Sponsor reserves the right to modify, extend, suspend, or terminate the Promotion, in whole or in part, if it determines, in its sole discretion, that the Promotion is technically impaired or corrupted or that fraud or technical problems, failures or malfunctions or other unintended circumstances have impaired the integrity, administration, security, proper play and/or feasibility of the Promotion as contemplated herein.

Only the type and quantity of incentives described in these Official Rules will be awarded.

These Official Rules and any disputes relating hereto are governed by the internal laws of the State of Virginia without regard to principles of conflicts of laws, and by participating in this Promotion, you consent to the exclusive jurisdiction of the state and federal courts in Fairfax County, Virginia or resolution of any disputes relating to the Promotion and waive any objection thereto.
